Position Title:            Training and Events Coordinator

Reports to:                 Deputy Director/CEO

Major Duties or Responsibilities: Responsible for overseeing the logistics of all training, technical assistance and events provided directly by and sponsored by the Montana Primary Care Association.  Responsible for gathering evaluation data from all events/trainings, compiling information, and providing analysis in written form to CEO.

Communication, Organization and Planning:

  • Coordinates event logistics including registration, attendee registration, presentation materials, on-site event support, and pre- and post-event evaluations.Ensures timely communication, both written and verbal, with all parties involved in an event or training.  Keeps accurate records of all event planning and communications.
  • Provides professional services to all clients, vendors, staff, and participants engaged in education, training, and technical assistance including webinars and teleconferences (Zoom, GoToMeeting, etc.) and face-to-face events sponsored by MPCA.
  • Schedules and manages logistics for all training/event speakers, vendors, and participants.
  • Coordinates and monitors training/event timelines and ensures deadlines are met.
  • Initiates, coordinates and participates in all efforts to publicize trainings/events. Coordinates all internal and external publicity with the Deputy Director and/or lead staff of the training/event.
  • Edits and designs promotional materials with outside consultant and Deputy Director.
  • Develops training/event budgets with the Deputy Director with coordination from other MPCA staff.
  • Oversees and tracks training/event budgets with the Deputy Director and the Accounting Manager.
  • Develops and implements an evaluation process for all major trainings/events.  Aggregates evaluation results and presents monthly written summary reports of training/events including basic quantitative and qualitative data to the CEO. 

Education and Experience:

  • Requires at a minimum an Associate Degree in project management/communications field or related field. Three years of relevant work experience may be substituted for required education.
  • Successfully demonstrated written and verbal communication skills.
  • Minimum of 2 years demonstrated success organizing events and trainings for large diverse audiences.
  • Demonstrated experience with information technology systems such as Microsoft Office 365, on-line email and marketing tools (i.e. Constant Contact), on-line survey tools (i.e. Survey Monkey), webinar platforms (i.e. Zoom), etc.
